Incident AI – MFA (Multi-Factor Authentication) Setup Guide

1. What is MFA?

Multi-Factor Authentication (MFA) adds a second layer of security to your Incident AI account.

  • Something you know: your password

  • Something you have: a time-based one-time passcode (TOTP) from an authenticator app

Even if someone discovers your password, they cannot access your account without that rotating code.

2. Supported Authenticator Apps

Any TOTP-compatible app will work. Common options include:

  • Google Authenticator

  • Microsoft Authenticator

  • Authy

  • Duo Mobile

Tip: It does not materially matter which app you choose—pick whichever you’re most comfortable with or already use.

3. Downloading an Authenticator

On iOS (iPhone/iPad)

  1. Open the App Store

  2. Search for one of:

    • “Google Authenticator”

    • “Microsoft Authenticator”

    • “Authy”

  3. Tap Get to install

On Android

  1. Open the Google Play Store

  2. Search for one of:

    • “Google Authenticator”

    • “Microsoft Authenticator”

    • “Authy”

  3. Tap Install

4. Enabling MFA in Incident AI

  1. Log in to Incident AI with your username and password.

  2. At first login, a QR code and secret key will appear.

5. Configuring Your Authenticator

  1. Open your chosen authenticator app.

  2. Tap + (or Add account).

  3. Select Scan a QR code, then point your camera at the on-screen QR code in Incident AI.

    • Alternatively, choose Enter a setup key and paste the secret key shown.

  4. The app will generate a 6-digit code that refreshes every 30 seconds.

6. Logging in with MFA

  1. Enter your username and password as usual.

  2. When prompted, open your authenticator app and type the current 6-digit code.

  3. Access is granted if the code matches.

7. Backup & Recovery

  • Save your secret key (displayed when enabling MFA) in a secure password manager or printout.

  • If you lose your device, you can re-enter this key into a new authenticator app.

  • Contact your Incident AI administrator if you lose both your device and backup key.

8. Troubleshooting

  • Codes not working?

    • Ensure your phone’s clock is set to automatic/network time.

  • Can’t scan the QR?

    • Copy & paste the secret (alphanumeric) key manually.

  • Lost device & no backup key?

    • Reach out to your Incident AI support team to reset MFA on your account.
